Overview

Are you a resourceful and self-motivated administrative individual with the power to initiate plans and independently follow through to completion? We’re looking for an experienced Administrative Coordinator to assist and support our Director, Claims Intake & Adjudication Services at WorkSafeBC in our Richmond head office.

Claims Intake and Adjudication Services (CIAS) is a department of dedicated people who ensure that workers and employers in British Columbia receive the support they need after an injury or occupational disease. At the heart of our department is a commitment to fairness, responsiveness, and compassion and our goal is to ensure that workers receive the benefits and support they are entitled to in a timely manner. In this role, you’ll partner with the Director and the senior managers to build a strong team and fulfill a common vision. Where you’ll work

At WorkSafeBC, we offer a hybrid work model that combines working remotely, and in our offices based on the operational needs of the position.

In this role, you’ll work primarily from our Richmond office a minimum of three times per week and have some flexibility to work from your home in B.C. Please note the on-site requirement may change based on operational needs.

What you'll do

As an administrative coordinator, you will:

  • Support the Director and senior leadership team by performing administrative responsibilities, including maintaining calendars; managing appointments, meetings, conferences and team events; and booking meeting rooms
  • Support the management team on any daily responsibilities as required
  • Record, organize, and prepare complex and confidential reports
  • Compose written responses, memos, minutes, presentations, reports, and communications from both verbal and printed sources
  • Coordinate travel arrangements and assist in tracking expenses and vacation schedules for the management team
  • Manage equipment and accesses for employees and assist with onboarding new hires
  • Receive, screen, and refer incoming calls from internal and external sources
  • Compose written responses, memos, minutes, presentations, and communications from both verbal and printed sources
  • Build and maintain cooperative working relationships with a variety of individuals
  • Consistently models the appropriate level of organizational behaviours expected of all WorkSafeBC employees: responsive, respectful, fair, collaborative, accountable, and forward thinking.

  • Communicate clearly and concisely, verbally and in writing, to a variety of groups and individuals
  • Meet deadlines in a high-volume, multi-tasking, client-focused environment with a strong attention to detail
  • Interact with key WorkSafeBC personnel and external sources while exercising discretion in providing information in the absence of the Director
  • Use discretion, handle confidential and sensitive information, and resolve conflicts
  • Identify opportunities to improve systems and processes; recommend solutions and refer issues as appropriate
  • Problem-solve proficiently, demonstrating initiative and resourcefulness

Your experience and educational background:

  • Some post-secondary education
  • 3 years of administrative experience supporting senior management and/or Director level operations
  • Strong working knowledge of MS Office products including Word, Excel, PowerPoint, and Teams
  • Ability to type 45 WPM
  • Other equivalencies may be considered

Salary: $63,879 - $77,613/annually
